Air China Free Transit Hotel: Eligibility & How to Book

A long layover can be one of the least enjoyable parts of air travel. Fortunately, Air China offers eligible passengers a free transit hotel service during qualifying connections, including hotel accommodation, breakfast and airport transfers.

For airlines operating major hub airports, improving the connecting experience is an important way to attract more passengers. A comfortable connection can influence how travellers choose between competing flight options, which is why many airlines now offer benefits such as transit hotels, lounge access, meal vouchers and stopover tours. Air China refers to its offering as “transit accommodation”, although travellers commonly know it as a complimentary transit hotel or layover hotel.

This can be a particularly useful benefit during a long overnight connection. However, the eligibility rules are complicated, and the actual experience may differ from your expectations. Having used the service myself, I have put together this unofficial guide explaining where Air China’s free transit hotel is available, who qualifies, how to reserve it and whether it makes sense for your connection.

What does Air China's free transit hotel include?

Eligible passengers may receive the following, free of charge, subject to eligibility and advance booking:

• Up to one night’s hotel accommodation
• Complimentary breakfast
• Ground transport between the airport and hotel

The amount of time you can spend in the room mainly depends on your flight schedule. Standard check-in and check-out timings don’t necessarily apply (unlike a conventional hotel stay).

Breakfast is typically a buffet in the hotel restaurant (these can be heavily oriented towards Chinese dishes, depending on the hotel). For an early departure, it may instead be a packed grab-and-go breakfast. Breakfast is of course not included if you are not staying till the morning.

Round-trip transport between the airport and hotel is provided — the exception is Chengdu Joyhub Air Hotel, which is located in TFU). This is a van/bus and note that there may be some waiting involved.

The transit hotel package excludes lunch/dinner and any ancillaries.

Which airports have free transit hotel?

Air China offers transit accommodation in six Chinese cities, namely Beijing (both PEK and PKX), Shanghai, Chengdu, Hangzhou, Tianjin and Wenzhou:

1. Beijing Capital International Airport (PEK)
2. Beijing Daxing International Airport (PKX)
3. Shanghai Pudong International Airport  (PVG)
4. Chengdu Tianfu International Airport (TFU)
5. Hangzhou Xiaoshan International Airport (HGH)
6. Tianjin Binhai International Airport (TSN)
7. Wenzhou Longwan International Airport (WZN)

Air China divides the hotels into two categories: Standard and Deluxe. Deluxe accommodation is for first/business class passengers and is only available at PEK, PVG and TFU.

Who qualifies for Air China's free transit hotel?

This is where the programme becomes complicated. In simple terms, your itinerary needs to pass five main checks.

1. You must have an Air China ticket with CA flight numbers

Your ticket number must begin with 999 (e.g. 999-1234567890), which indicates that it was issued by Air China.

Both the flight arriving at your transit airport and the flight departing from it must also have a CA flight number (it is fine if it is with Shandong Airlines or Shenzhen Airlines, as long as it has the CA codeshare flight number).

The flights should form part of the same connecting itinerary.

2. If both flights are not operated by Air China, additional rules apply

Skip if your departure and arriving flights are both Air China as the operating carrier.

A CA flight number does not always mean that Air China operates the aircraft. Some CA-coded flights are operated by partner airlines such as Shandong Airlines or Shenzhen Airlines.

Whether these flights qualify depends on the type of connection.

• For a domestic-to-domestic itinerary, one flight can be operated by Air China, Shandong Airlines or Shenzhen Airlines, but the other must be operated by Air China.
• For a connection between a domestic and an international or regional flight, the domestic flight can be operated by any of those three airlines. The international or regional flight must be operated by Air China.
• For an international-to-international connection, both flights must be operated by Air China.

The easiest way to check is to look at both the flight number and the “operated by” information in your booking.

3. Booked in an eligible fare class

Most paid first-class, business-class and economy-class fares are eligible.

The fare class is shown as a letter (e.g. "H") in your e-ticket receipt. The eligible fare classes are:

• First and business class: F, A, J, C, D, Z, R
• Economy class: G, E, Y, B, M, U, H, Q, V, W, S, L, P, K, T

The ineligible fare classes are O, I, X and N class (i.e. mileage redemption tickets, complimentary tickets and infant tickets. Note that domestic-to-domestic itineraries are also excluded if any flight is booked in T class.

4. Your connection must be long enough

The minimum connection time is six hours, measured from the scheduled arrival of your first flight to the scheduled departure of your next flight.

• For an overnight domestic-to-domestic connection, the layover must be between 6 and 24 hours.
• For domestic-to-international, international-to-domestic and international-to-international connections, the overnight layover can be between 6 and 30 hours.

“Overnight” simply means that your flights fall on different calendar days. For example, arriving at 6:00 pm on 10 January and departing at 1:00 am on 11 January counts as an overnight transit.

Same-day connections can also qualify, but only when the arriving flight is scheduled to land by 8:00 am, and the connection is at least six hours long.

A 6-hour connection may therefore be technically eligible, but not long enough to make the hotel stay worthwhile in practice.

5. Both flights must connect at the same eligible airport

Your arriving and departing flights must use the same airport (i.e. PEK, PKX, PVG, TFU, HGH, TSN, WNZ)

If you are transiting through Beijing, you are not eligible if one flight arrives or departs at Beijing Capital (PEK) but the other connecting flight departs from Beijing Daxing (PKX). The same principle applies whenever an itinerary requires a transfer between airports.

How to get your free transit hotel?

Step 1. Reserve the hotel in advance

The easiest way to book Standard accommodation is usually through the Air China app. After logging in, find your booking and look for the transit accommodation or additional services section. If your itinerary is eligible and rooms remain available, the hotel option should appear there.

Here is a step-by-step guide to navigate through the Air China app. You will need to be logged in and have your booking added to your Air China account.

a) From the app's landing page, click on "All Services", followed by "Transit Hotel"

b) Read the description of the Transit Accommodation service

c) Read the hotel booking instructions

d) Select your flight itinerary

e) Confirm and select continue

f) Confirmation of your hotel booking

It is a known issue that some international passengers have difficulty creating or verifying an account in the Air China app. Another obstacle is adding your booking to your Air China account, especially if you have booked through third-party online travel agencies (which is possible if the OTA has sent your passport number through to Air China). The transit hotel service can also be booked through the Air China website.

If you encounter difficulties, it can often be easier to call Air China. The mainland China hotline is 95583. That short number will not work from outside China, so international callers should use the relevant Air China number for their country or region listed on the Air China website.

Standard accommodation must be reserved more than 24 hours before the scheduled arrival of your first flight at the transit airport, calculated using Beijing Time.

Deluxe accommodation must be reserved more than 50 hours before arrival and can only be booked through Air China’s hotline.

Step 2. Clear immigration and arrange the transfer

All transit hotels are landside, so you first need to pass through immigration and enter mainland China.

At Beijing Capital Airport (PEK) specifically, you do not have to arrange your transport yourself as there is a manned booth with staff that will coordinate the transfer. Passengers arriving at Terminal 3 can go to the Air China Transfer Service Counter in the arrivals area near the ‘B’ exit. Show the staff your hotel details, and they will contact the hotel to arrange pickup. If you ever need help searching for the counter, these few words could come in handy: “国航中转服务柜台” (guó háng zhōng zhuǎn fú wù guì tái).

At the other airports (PKX, PVG, TFU, HGH, TSN, WZN), you need to call the hotel, and they will arrange a shuttle to pick you up. Make sure your phone can call a Chinese telephone number!

The transfer is commonly a minibus or van rather than a private car. You may need to wait while the hotel collects other passengers arriving at roughly the same time.

Step 3. Check in at the hotel

At the hotel, be prepared to show your passport and the boarding pass of your subsequent flight or flight itinerary. You don't have to provide any payment at the hotel.

The hotel will explain the arrangements for ground transfer back to the airport. These arrangements are usually based on your onward flight rather than the hotel’s conventional noon check-out time. Note that passengers departing at similar times may be grouped into the same vehicle, and the hotel is likely to build in a generous buffer time for your return to the airport.

However, if you have time the next day and want to explore the city, you can also check out early and make your own arrangements.

Step 4. Return to the airport for your connecting flight

Heading back to the airport, make sure you go to the correct airport terminal. Upon arrival, check in for your onward flight if you do not already have a boarding pass. You can then proceed through security and outbound immigration.

Should you use Air China's free transit hotel?

While the service can be a useful option, it is not the best choice for every connection.

1. Use it if you have a long overnight connection.

The transit hotel is most valuable when you have a genuine overnight stop and mainly want somewhere to sleep.

A proper bed, shower and breakfast are considerably more comfortable than spending the night in the terminal. The included transport also means you do not need to arrange a taxi or pay for your own airport hotel.

For a connection lasting 10 hours or more—particularly one spanning the middle of the night—the service can be excellent value.

2. Think twice if your connection is only six or seven hours

A six-hour connection may qualify under the rules, but the hotel may not be worthwhile.

Your usable time is reduced by:

• Passing through immigration
• Calling the hotel to pick you up (unless you are transiting at PEK, in which case you can just go to the booth) and waiting for the shuttle.
• Taking the return shuttle back to the airport: They tend to set a conservative time for you to leave the hotel to catch your flight, and may pool you into an earlier return together with other passengers.

In practice, you could have a six-hour connection but spend only two or three hours at the hotel.

Note that Air China also offers a transit lounge service at Beijing Capital Airport (PEK) for eligible connections of 4-12 hours. The lounge may be a more practical option because it avoids immigration and ground transport. Unfortunately, you cannot book both the transit hotel and transit lounge, so choose carefully.

3. Don’t use it if you want to explore the city

Most participating hotels are outside the airport area while being nowhere near the city’s main attractions. This matters particularly in cities such as Beijing, Shanghai and Chengdu, where the main international airports are a considerable distance from the city centre. Staying there could create an unnecessary detour if you intend to go sightseeing.

The only hotel that is within the airport area is Chengdu Joyhub Air Hotel, which is in between Terminals 1 and 2 at Chengdu Tianfu International Airport (TFU) – but this is only applicable for business/first class passengers.

There is one possible exception: a very long overnight connection where you want to sleep first and explore the following morning. You could technically check out early the next day and make your own sightseeing arrangements.

4. Don’t use it if you have strong hotel preferences

It is good news that some cities have international brands among Air China’s participating hotels (e.g. Holiday Inn Express Tianjin Airport, Ramada By Wyndham Shanghai Pudong, Ramada by Wyndham Jianyang Chengdu). But the other hotels are very local hotels; standards vary, but the typical transit hotel should be viewed as functional rather than luxurious. 

One tip: you can try to rebook if you are not assigned your preferred hotel on your first try (see FAQ below).

Frequently asked questions

1. Can you choose the hotel?

Sometimes, but it depends on your eligibility. Air China has Standard and Deluxe hotel categories. Eligible first- and business-class passengers on qualifying itineraries have access to the Deluxe category, which is offered in Beijing Capital, Shanghai Pudong and Chengdu Tianfu, and they can pick those preferred hotels.

Economy passengers choose the hotel if they have high-tier PhoenixMiles status (Lifetime Platinum, Platinum or Gold Member). Otherwise, the system assigns the hotel automatically. That said, you can cancel it on the app and try to book again if you don’t like the booking assignment. There is a chance that the same hotel may be assigned again, or if you rebook at a later date, there might not be any rooms left at all in any transit hotel.

2. Do you need a visa?

It is important to note that you must be permitted to enter mainland China for your transit duration because the transit hotels are landside.

Depending on your passport, itinerary and transit airport, you may qualify for visa-free entry or a temporary entry permit. Other passengers will need a visa obtained in advance. Hotel eligibility and immigration eligibility are separate.

3. What other value-added services does Air China offer for passengers?

This transit hotel is just one of several services designed to make travel more convenient for passengers. Other services include:

• Free transit lounge: There is a lounge service is available at Beijing Capital Airport (PEK) for eligible connections of 4-12 hours. It does not require a visa as it is airside, so it is a good alternative to the transit hotel without entering mainland China during your connection.
• Ground-air transport: Passengers can book a free train or metro ticket to/from the city to facilitate their travel before or after the flight. This is provided as a QR code once booked on the app.
• Free luxury car service: This is a limo airport transfer service for premium class passengers (first and business class)

Note that Air China allows only one qualifying value-added service for the same flight segment. This means, for example, you cannot book both the transit hotel and the transit lounge for the same part of your itinerary.

The bottom line

Air China’s free transit hotel is a good benefit hidden behind some surprisingly complicated rules.

For a long overnight connection, it can turn an uncomfortable night in the terminal into a proper hotel stay with a bed, shower, breakfast and airport transfers. It is a useful option to have, but it is not necessarily the best choice for every passenger, especially when considering visa requirements, immigration procedures and transport waiting times.
